Legal Support Assistant
Westlake Village, CA | Full-time | $24-$30/hour
Pederson Law Offices is looking for a sharp, exceptionally organized Legal Support Assistant who likes getting things done. This is a hands-on role for someone who takes an assignment, figures out the next steps, follows through, and closes the loop.
You will help keep the administrative and document side of our estate planning, trust administration, and probate practice moving: files organized, signings prepared, executed documents processed, originals tracked, routine follow-up completed, and important details handled accurately. This is not a management or firm-wide workflow-design position.
What You Will Do
- Manage routine electronic and physical file work: scanning, naming, saving, organizing, retrieving, and tracking documents and originals.
- Prepare for estate-planning signings and handle post-signing processing, including executed-document scanning, copies, binder assembly, original-document handling, and follow-up routing.
- Perform appropriate notarizations if currently commissioned as a California Notary Public; maintain required notary records and supplies.
- Handle copying, mailing, shipping, labels, document assembly, data entry, and other detail-intensive clerical work.
- Follow assigned administrative tasks through to completion and keep the right person informed when something is waiting, missing, or finished.
- Assist with non-substantive trust administration and probate follow-up, document collection, mailings, and status tracking under team direction.
- Provide backup support for intake, meeting preparation, and front-office/client-service needs.
- Use Clio Manage, Microsoft 365, PDF/document tools, scanners, and approved AI tools accurately and efficiently.
- Flag obvious recurring problems or inefficiencies to the office-management team; you will not be responsible for designing or managing firm-wide workflows.

Experience and Notary Qualification
We prefer at least two years of strong administrative, legal-support, client-service, financial-services, accounting, healthcare, or other detail-intensive professional experience. Prior law-firm or estate-planning experience is helpful, but not required.
A current California Notary Public commission is strongly preferred. If you are not currently commissioned, you must be willing and eligible to obtain and maintain a California commission promptly after hire. The firm will pay reasonable commissioning costs.

Compensation
$24-$30 per hour, depending on directly relevant experience, notary status, and demonstrated ability to become productive quickly. Full-time position. Additional compensation and benefit details will be provided during the hiring process.
